ll3.jpgStep 1 - Free Market Appraisal 

Gill Properties will arrange to meet you at the proposed property in order for one of our professional staff to take details of the property and provide you with a current and realistic rental amount. We will discuss the complete procedure with you and provide you with expert advice on current legislation and after having ascertained your requirements we will match one of our services to suit your needs.

ll4.jpgStep 2 - Promoting your Property

Once we have received your instruction by means of our Service Agreement confirming the service you require, Gill Properties will automatically start to advertise your property. We will instantly match your property to prospective tenant(s) by using our unique computer programme, which will enable Gill Properties to generate viewings quickly. All viewings will be accompanied by a member of staff from Gill Properties, where possible.

ll5.jpgStep 3 – Referencing of Tenants & Guarantors
Once Gill Properties have received an application form for your property we will contact you with the prospective tenants details. We will then take your instruction to proceed. All relevant references and financial checks will be carried out by a professional independent referencing agency. After the references have been completed and passed, this will be acceptable for tenancy and also for your optional guaranteed rents and legal protection.

ll6.jpgStep 4 – Preparing for the Tenancy
Gill Properties will liaise between the three parties for a mutual moving in date. Prior to this we will compile all the correct legal documentation to include Assured Shorthold Tenancy Agreements and relative notices for Mortgaged properties. We will also prepare a full inventory and report of all items left in the property, and complete our unique checklist with you prior to the tenancy making sure that all is in place.

Connecting Landlords and Tenants

Step 5 – Conforming to Legislation
As part of our strict checking procedures Gill Properties will make sure that all your gas appliances conform to The Gas Safety Regulations 1994. A certificate will be issued and checked thereafter on an annual basis. If the property is furnished we make sure that all soft furnishings are in accordance with The Fire and Furnishings (Fire) (Safety) Regulations 1988 and we also ensure that there are adequate smoke detectors in the property.

ll8.jpgStep 6 – Protecting your Property & Income
After a moving in date has been agreed Gill Properties will arrange for your Guaranteed Rents and Legal Protection Insurance to commence as per the tenancy start date. We will arrange, if required the correct Buildings and Contents Insurance are in place for a tenanted property. Therefore should anything happen you have the peace of mind that your property and income are fully protected.

ll9.jpgStep 7 – Moving the Tenant(s) in
Gill Properties will sign all the legal documentation on behalf of the Landlord as their Agent. We will take the first months rent in advance along with a security deposit from the tenant(s). Once we have completed the Legal Documentation at our office, we then check the tenants into the property against the Inventory & Report and agree meter readings, which then enables us to inform all the utility companies of the change of occupiers.

ll10.jpgStep 8 – Routine Inspections
After the tenant(s) have moved in Gill Properties will visit them a month later to make sure they have settled in and we subsequently carry out routine inspections every three months thereafter. This allows us to monitor that the tenant (s) are looking after your property and adhering to their Tenancy Agreement and to inspect any highlighted maintenance. Any such maintenance is immediately reported and we follow your instructions.

ll11.jpgStep 9 – Collection of Rent
During the tenancy Gill Properties collect the rent during the period of the month and we account to you at the end of every month by means of an accurate monthly statement which is produced by our unique computer programme. Your monthly statement will be sent to you and all monies due to you will be paid into your designated bank or building society account by means of Bacs or alternatively a cheque will be sent with the statement.

ll12.jpgStep 10 – Moving Tenants out
Tenants are required to give one full months notice in writing to vacate at the end of a tenancy and once Gill Properties have received such notice we instantly start to advertise your property in search of new tenants with your permission. An official check out appointment is made for the last day of the Tenancy for us to check the origonal inventory & report and agree final readings and collect all keys. If any dilapidations these will be rectified and deducted from the deposit.
